About the Position:


The Project Manager is responsible for, but not limited to, the tracking of price estimates, order entry, inventory availability, scheduling and follow up on all orders. This includes coordination of project requirement, providing projections for inventory and issuing purchase orders, getting freight estimates, creating all packing and shipping documents, arranging shipments, communicating with customers and vendors at all stages and follow up with customers on deliveries. The Project Engineer will be responsible for the documentation both physical and electronic as well as financial accounting relating to projects. This position reports to the COO. This position has no direct reports.


Duties and Responsibilities:


The essential functions include, but are not limited to, the following:



  • Receive price requests from customers and initiate the price estimate process. Communicate the price estimate and preliminary installation plan to the customer

  • Create and update physical and electronic files

  • Perform order entry, create the invoice, communicate the invoice and installation plan to the customer



  • Verify inventory on hand and issue purchase orders if needed.

  • Create all shipping documents

  • Arrange shipping so the order arrives when it was promised. Communicate with the customer when their product ships

  • Follow up with the customer to ensure they received the shipment.

  • Ensure all orders are tracked internally through the different process stages

  • Audit price estimates, orders and close out projects financials when the order is complete

  • Respond to customersâ requests for details on all phases of the work order.

  • Anything else that is deemed necessary


Qualifications:



  • Bachelorâ s Degree

  • Three yearsâ project management experience, Project Management Professional (PMP) preferred

  • Experience with LTL and Full Truck shipments

  • Purchasing Experience with manufacturing vendors

  • Proficiency in Microsoft Office

  • Ability to prioritize and multi-task in a fast paced work environment



  • Highly organized and detail oriented

  • Able to complete tasks accurately and timely with minimal supervision

  • Strong verbal and written communication skills

  • Thrives in a collaborative, team player office environment

  • Ability to interface well with staff and external contacts of Authority

  • Proven ability to maintain confidentiality

  • Strong organizational skills



Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
